Are the Student and Teacher Apps included in the monthly subscription?

Yes, both apps are included with your subscription at no extra cost.

How can I check student attendance?

You can check attendance in the Student Profile for each student, see overall attendance in the Timetable, and use the Reports section to filter by different criteria or dates. If a student is absent, you can also see if they have rescheduled their lesson.

How do I create invoices and receipts?

Yes, you can easily generate invoices and receipts in SchoolTracs. Simply add a new order or enrollment, and you’ll have the option to create an invoice or record a payment to generate a receipt. Invoices for future billing cycles are created automatically.

How can I reschedule lessons for students?

Lessons can be rescheduled through the Timetable or by students using the Student App. You can reschedule a lesson to a different date, postpone it, or split one lesson into three separate sessions.

How can I pay for SchoolTracs?

We accept ATM transfers, bank auto-debit, and online transfers.

Is my data secure and private?

You access SchoolTracs through a secure, encrypted connection. All your information stays private and is only accessed by SchoolTracs technical support—with your permission—when helping with support or data import. We also use firewalls and system monitoring to keep your data safe.

How is my number of active students calculated?

“Active Students” are defined as students who have enrolled in at least one class in a given calendar month. For the purpose of calculating your monthly fee, the number of active students is determined at the branch level and averaged over the previous three full months. If a single student enrolls in two different branches, they will be counted as one active student in each branch. Any adjustments to your subscription fee based on this calculation will be applied in the following month.

Do I have to sign long-term contracts?

No, you don’t. SchoolTracs is a pay-as-you-go service. To terminate, simply provide one month’s notice before your desired end date.

Can I import my existing data?

You can upload and import your class fee, product fee, students and rooms in CSV directly to SchoolTracs during trial period.
